SHIELD, which stands for service history, inspection, evaluation, labor, and documentation, captures real measurements, photo documentation, and technician sign-off at the point of service.

Each completed inspection generates a clean service record linked to the unit's VIN, the date of service, and the technician who performed it. The result is an unbroken line of sight from the hands of Coltrain Onsite's technicians to the eyes of their customers.

“SHIELD is how we hold ourselves accountable for the quality of our work,” said Kyle Coltrain, co-executive officer of Coltrain Onsite Fleet Care. “When we do a 100-point inspection on a fleet vehicle, every single point is accounted for, time-stamped, and documented with photos. SHIELD gives our customers the confidence and peace of mind that their fleet vehicles receive consistent, high-quality inspection, maintenance, and repair services by Coltrain technicians. The result is safe, reliable vehicle operation and maximum fleet uptime.”

Unlike traditional inspection forms that record little more than a checkmark, SHIELD captures the actual data behind every inspection point: tire PSI readings, tread depths, brake measurements, and steering play values are recorded as real numbers—not pass/fail indicators, giving fleet managers a precise, verifiable snapshot of each unit's condition at the time of service. Photos are captured throughout the inspection, creating a complete visual record to accompany the data.

Designed and developed by Coltrain Onsite, SHIELD was built for technicians and the fleets they service, connecting the work from the hands of Coltrain technicians to the eyes of their customers and delivering on the company’s promise of confidence in every repair.

Built with the technician as the primary user and as a natural extension of their hands-on inspection process, Coltrain said SHIELD is simple enough to trust in the field and thorough enough to capture the inspection and repair data that matters most to fleet managers.

“The goal was to build something a technician could learn in a day and trust every day after,” said Kevin Coltrain, co-executive officer of Coltrain Onsite. “We took every speed bump out of the workflow so they can focus on what they’re good at, taking care of trucks. The technology handles the rest.”

Coltrain said mobile fleet maintenance has long struggled with a quality and accountability gap, one that leaves fleet managers uncertain about what was actually inspected and when, making it difficult to verify compliance, track PM currency, or hold service providers accountable. SHIELD addresses this gap directly, delivering documented proof of work as a standard part of every Coltrain Onsite service call.

Every SHIELD report lists the technician who performed the service, a deliberate reflection of Coltrain Onsite's technician-first culture and its commitment to accountability at every level of the organization.

Since going live with electronic PM inspections, Coltrain Onsite technicians have completed hundreds of SHIELD reports across the company’s service network. The application is now the standard workflow for all preventive maintenance services.

The SHIELD launch coincides with another milestone: Coltrain Onsite’s one-year anniversary of operations. In that time, the company has grown to a team of more than 100 people serving fleets across 14 states. Kyle Coltrain credits the growth to a simple standard: when you say you’re doing a 100-point inspection, every single point gets done.
